Tour itinerary software

An itinerary that stays true because it is built from the source.

Itineraries go stale the moment routing changes. In Advance with Me, flights, drives, hotels, and rooming lists live against the same dates as the shows and the advance, so the itinerary, the daysheets, and every traveler's personal view update together. In a browser, and on the AWM Go iPhone app, offline included.

  • Flight lookup fills details from a flight number
  • AI import reads confirmation PDFs and rooming lists
  • My Travel: a personal itinerary for every traveler
Travel and lodging

Enter it once, mostly by not entering it at all.

Flights from a flight number

Type the flight number and lookup fills the airline, airports, and times, including same-day multi-leg trips. Confirmation PDFs import with AI when the agent sends a stack of them.

Drives that do the math

Drive segments calculate distance and duration with time zones handled per endpoint, so the 9 a.m. departure that arrives at 3 p.m. across a zone line reads correctly on everyone's sheet.

Hotels and rooming lists

Lodging attaches to the dates it covers, with rooming details per traveler. Check-in chaos becomes a list somebody already made.

One timeline with the show

Travel merges into the same calendar-first day view as the schedule, so bus call, load-in, and the flight out are one picture, not three documents.

Per traveler

Everyone gets their day. Nobody gets everything.

My Travel gives each traveler a personal, in-app itinerary: their flights, their hotel, their schedule, scoped to their party. Crew sign in with a passwordless magic link and see it on the web or the AWM Go iPhone app, which keeps working offline. Free on every plan, because charging per crew phone punishes exactly the behavior you want.

Part of the same record

The itinerary is downstream of the advance.

An itinerary is only as accurate as the confirmations behind it. Advance with Me starts with the advance, then builds daysheets, travel, and guest lists from the same record. See tour management software for the full picture, or compare with Master Tour if that is where you are coming from.

Common questions

Tour itinerary software: FAQ

What is tour itinerary software?

Tour itinerary software organizes the run at a glance: dates, cities, venues, travel, and lodging, plus the day-level schedules underneath. The difference between platforms is where that data comes from. In Advance with Me the itinerary is built from the same records as the advance and the daysheets, so a routing change updates one system instead of four documents.

Does each traveler get their own itinerary?

Yes. My Travel gives every traveler a personal, in-app itinerary showing their own flights, drives, hotels, and rooming details. Crew see it on the web or the AWM Go iPhone app with offline support, scoped to their party, at no charge.

How does travel get into the system?

Three ways: type a flight number and flight lookup fills in the details; upload confirmation PDFs and AI import extracts flights, hotels, and rooming lists for review; or enter it by hand. Drives calculate durations and arrival estimates with time zones handled per endpoint.

Can crew subscribe to the schedule in their calendar app?

Team members can view their day-by-day schedule in the app, and depending on plan and setup, a personal calendar feed can make schedule items available in standard calendar apps. Ask in a demo about calendar sync for your team.
